CASE STUDY – KIDZ
Kidz is a national provider of childcare services for children aged three months to four years old. It has grown over the years into one of the best known brands in childcare with 200 locations across the country. This has been achieved by creating a caring and happy environment for children and offering a flexible and personalised service to customers. The range of services offered by Kidz includes full-time and part-time childcare, pre-school and after-school clubs, teaching, meals (breakfast, lunch and tea), entertainment events and a range of fun activities.
Until recently, each location was responsible for its own day-to-day running. This included the recruitment of staff, work scheduling, maintaining buildings and equipment, selecting suppliers and making procurement decisions, often without professional guidance. To improve procurement, the company decided to set up a small centralised procurement function. Christina Jones is the newly appointed procurement manager. She is responsible for pursuing savings across the whole business, focusing on key areas of expenditure, such as uniforms, maintenance, computer systems and equipment, training, catering services and playground equipment. Christina has limited management experience, but is keen to learn. She has been given a team of one buyer and two assistant buyers to help her. They all previously worked at site level, but were keen to move to the head office in order to progress their careers.
Emmanuel Stephens is the buyer within the team. He is experienced and qualified in procurement and had previously worked in the public and private sectors. He is used to working independently on projects and Christina finds him to be professional. She notices that he is quiet and that he does not find it easy to mix with other people.
Paulo Angelotti and Sue Preston are the two assistant buyers. Paulo is very enthusiastic and is keen to succeed. He has a university degree in business studies but he lacks procurement experience. He is enjoying working at Kidz and has made good friends with his new colleague, Sue, but he has found it difficult to relate to Emmanuel, as they seem to have little in common. Sue joined Kidz straight from school without attending university, her aim being to gain relevant professional qualifications while working. Sue is an extrovert and is very direct in her approach to life and work. She is a hard worker and quick to learn. She is always asking questions, which has caused problems with Emmanuel, who likes to focus on his own work. Christina is concerned that the three team members do not seem to be working well together as a team.
The CEO of Kidz has asked the new procurement team to focus on the standardisation of procurement procedures across the organisation, the development of specifications and service level agreements, and the reduction of the supply base. Another task is to secure national agreements for large expenditure items and services. Christina feels that she needs another member of the team in order to help her to undertake all of these activities. She has arranged a meeting with the human resources manager in order to discuss the recruitment of a new member of the team, as well as possible training for the two assistant buyers.
